Our facility in Paisley allows us to securely store and possibly more importantly track boxes and files within our heated, custom designed warehouse.
Each box is given a unique reference point which is logged on the box and our internal tracking system. When required, McPhersons can log the contents of each box which will give our clients a precise record of the contents of each box.
Many clients these days require documents stored for a minimum of 8 years for legal reasons. Our storage facility which is attached to our main offices and production area allows us to store in excess of 7000 boxes (over 18million documents). We cover the whole of Scotland and North East England and in particular the following areas; Glasgow, Ayr, Dumfries, Edinburgh, Falkirk, Sirling as well as as far afield as Inverness, Aberdeen and Dundee.
Storage falls in to 3 categories for many of our clients;
- Long Term / Static, Archive Storage – files are stored within boxes on the racking system and very rarely accessed. A full log is taken of them, to assist with quick access if required.
- Scan on Demand – boxes are stored and if requested these can be physically returned to the client upon request, or the file can be scanned and emailed to the contact. All files which are emailed are processed within our Data Protection Act procedures, and are encrypted using a 256bit password controlled zip file.
- Backup / Safety / Disaster Recovery – The customers may have had they’re files scanned or filmed, but require to hold the hard copy documents for either legal reasons or disaster recovery. This is simply peace of mind, there is always a backup held in other premises in case anything happens.
Fire, Intruder and Flood Prevention Systems in Place
Within our secure storage facility we also store various forms of microfilm. Again, possibly as a disaster recovery or scan on demand basis. The client may have the master films held on their own premises for day to day use, while McPhersons store the copies for insurance purposes. If stored correctly, Microfilm can be kept intact and viewable for over 500 years.

McPhersons storage facility is within a recently refurbished warehouse stretching to in excess of 3000 sq ft, with Dexion type long span shelving to a height of over 20ft. This allows us to store in excess of 7000 archive boxes or over 18 million documents.
The racking system was constructed by Thistle Storage in January 2011 from new and was inline with all safety regulations. It is designed and built specifically for storage of archive boxes to store paper records. There are set weight limits for the shelves, which are adhered to at all times. In addition, the racks were manufactured and designed under ISO 9001 Quality System and conforms to International FEM Standards.
The first shelf of the racking system is raised approx 7 inches off the floor. Therefore, in the unlikely event of a flood, the boxes on the first shelf will not become water damaged.
The racking system is bolted to the ground by means of an air gun drilled bolts, therefore there is no risk of the racks becoming unstable and toppling.
The racking is accessed by means of a Genie GR15 scissor lift, for which all operators are fully trained and licensed to operate. The Genie has an up to date Loler (MOT). (What is a Loler?)
Microfilm Storage / Archive
With over 40years experience in the management and production of Microfilm, we offer our clients a Storage solution for these vital records. using specialist Microfilm Storage cabinets, we log and store their films within our heated storage facility. The warehouse is kept clean and in an organised manner at all times. A full record of what is stored within and any movement is tracked in line with our quality standards and our warehouse storage log. We have a management consultant employed whose role within the company is to ensure the warehouse is kept clear and in an organised manner.
The heated warehouse is attached to our main production and office environment, and can only be Security accessed by our own staff.
The entire facility goes through annual Fire risk assessments which are carried out by a third party, with all their recommendations being implemented. We have a recognised fire alarm procedure which is tested on regular bases. Access to review can be provided upon request.
Secure Pallet Storage
As well as offering Racked storage solutions, we also now offer Pallet Storage. Boxes are logged and booked in to the system as normal. Although, instead of then being moved to a raised Storage rack, they are put on to a 1m x 1m secure heavy duty pallet. The pallet is then wrapped in a protective secure shrink wrap material and the pallet is then kept in our secure warehouse. This type of storage is ideal for boxes of files / documents which are not accessed very often although which are required to be kept for legal reasons.
